The position is full-time and office based, reporting to the CEO/CISO, with access to sensitive commercial, employee and client information that calls for discretion and accuracy.

A CPA or CA qualification is a prerequisite.

Key Responsibilities

  • Financial control: invoicing and debt follow-up, quotes, cashflow management, and reconciliation of all spending in Xero.
  • Tax and compliance reporting: GST returns for the company and a related entity, plus supporting information for the accountants' tax returns.
  • Expense management: reimburse employee expenses accurately.
  • Client experience: run the customer survey programme during and after projects, hold regular check-ins with subscription clients and send welcome emails to new clients.
  • Workforce compliance: verify every employee's working rights, manage the accredited employer application and its maintenance as required, and meet HR regulations including KiwiSaver.
  • Employment administration: prepare and manage contracts, and process and approve annual and unpaid leave.
  • People and culture: run new-starter inductions and help sustain a culture that celebrates staff.
  • Payroll: enrol employees into PayHero and process monthly payroll.
  • Vendor management: maintain third-party supplier relationships and understand billing terms.
  • Licensing: manage client licences, renewals and change orders, liaising with clients and partners on third-party renewals.
  • Delivery support: manage the penetration testing schedule and monitor consultant hours against client SLA hours.
  • Certification and safety: maintain CREST certification and ensure Health and Safety and fire compliance.
  • Client assurance: complete due-diligence questionnaires and answer non-technical enquiries from clients and prospects.
  • Facilities: purchase office food, cleaning supplies and IT equipment, report building issues and order swipe cards.
  • Systems: keep client data in ClickUp, Notion and HubSpot current and communicate with clients to sustain satisfaction.

Requirements & Eligibility

  • Professional designation required: CPA or CA (CA ANZ or equivalent).
  • Proven career history in finance and operations, office management or business support, ideally built within professional services, IT or cybersecurity.
  • Hands-on depth in payroll and accounts, from invoicing and cashflow to reconciliation and GST.
  • Exposure to HR administration and the NZ employment obligations it involves.
  • Proficiency in Xero including GST, and in PayHero or a comparable payroll platform.
  • Experience maintaining CRM and workspace tools such as Notion, ClickUp and HubSpot.
  • Familiarity with Microsoft licensing and with vendor/partner management is an advantage.
  • Working knowledge of NZ employment law, KiwiSaver and immigration/AEWV requirements.
  • Grasp of the Health & Safety and Fire compliance obligations a small office carries.
  • Awareness of CREST certification requirements adds a strong plus.
  • Highly organised and detail-oriented with thorough follow-through; trustworthy and discreet with sensitive client, financial and employee data.
  • Strong written and verbal communication, at ease as the first point of contact for clients.
  • Able to prioritise across finance, people and client-facing work with a warm, people-first approach that builds and protects team culture.
