Automotive Maintenance Administrator

Within a cooperative team, you will keep maintenance workflows orderly so that every transaction, invoice, record and service request is processed accurately and promptly, gaining experience that supports long-term career progression.
Key Responsibilities
- Administer vehicle servicing, repair, maintenance and tyre replacement activity, recording transactions accurately and updating internal systems
- Validate invoices, investigate discrepancies or exceptions, reconcile transactions and resolve outstanding items
- Manage workflow queues so requests stay within required service timeframes
- Keep precise vehicle maintenance records and supporting documentation
- Liaise with workshops, suppliers, customers and internal stakeholders, including telephone follow-up with service providers on requests and outstanding information
- Field maintenance-related enquiries and help bring issues to resolution
- Provide daily administrative support to Maintenance Controllers
- Handle multiple requests concurrently while preserving accuracy and attention to detail
- Contribute to efficient customer service and seamless maintenance operations
Requirements & Eligibility
- Demonstrated background in administration, data entry or a comparable role, supported by evidence of relevant employment and professional responsibilities
- Strong attention to detail and precision in managing records and transactions
- Confident verbal communication, a professional telephone manner and the capacity to engage effectively with customers, suppliers and internal stakeholders
- Strong organisational skills, with the capacity to balance competing priorities and meet deadlines under pressure in a busy environment
- Good computer skills and an aptitude for learning new systems
- Reliable, positive and cooperative in a team setting
- Automotive industry experience or genuine automotive knowledge is advantageous
- Previous experience as a Service Advisor, Service Administrator or similar is desirable
- Relevant overseas experience will be considered where it can be appropriately verified
- Must satisfy applicable Australian employment and sponsorship requirements
